Documents Requirement

Valid Passport – Original Passport issued within the last 10 years, with at least 6 months’ validity beyond the scheduled return date and at least 2 blank pages.

Copies of the bio-data and all used pages of current and previous passports, including visa, immigration stamp.

Recent Photograph – 35 × 45 mm – Plain white background, face covering approx. 70-80%. Do not wear a white shirt. Glasses should not be worn.

Application Form – Completely filled and signed application form

Covering Letter – explaining the purpose of visit, on company letterhead, duly signed and stamped, wherever applicable.

Invitation letter from the Belgian Company stating the exact purpose and period of the visit

National Identity Proof – Aadhaar Card & PAN Card copy.

Travel Documents - ticket itinerary and Detailed tour itinerary

Hotel booking/accommodation confirmation.

Travel Medical Insurance – Valid throughout all Schengen countries and covering the entire duration of the trip, with minimum medical coverage of EUR 30,000. German Missions accept travel medical insurance from approved Indian travel insurance companies only.

Financial Proof- Original Personal bank statements for the last 6 months with bank stamp sign.

Income Tax Returns for the last 3 years.

Term/Fixed Deposits and property/asset documents, if applicable.

Business Registration Certificate, GST Registration Certificate. Partnership Deed, if applicable.

Company ITRs for the last 3 years. Original Company bank statements for the last 6 months with bank stamp sign.

Salary slips for the last 6 months & Company ID Card copy.

Sponsor’s Financial Documents –  if the trip is sponsored by another person or company, including sponsor letter, identification and financial documents, as applicable

 From the guarantor in Belgium (Belgian or a foreign resident):

Invitation of the person in Belgium stating the purpose of stay, address, telephone number, e-mail address and the period of stay of the guest(s).

 If guarantor in Belgium is financing the entire trip:

Original of a guarantee letter (according to article 3bis of law of 15/12/1980), legalized by the municipality where he/she is residing (+ 1 copy) Formal obligation | IBZ

Copy of the id card or residence permit of the guarantor, mentioning the right to reside in Belgium for an unlimited period.

Family composition (document available at the municipality where the guarantor resides).

Proof of recent income of the guarantor: (3 last salary slip + child benefits) or last income tax assessment paper from the tax department in Belgium

Proof of family relationship (in case of family visit)

For Salaried Applicants- NOC from employer on company letterhead, duly signed and stamped, Salary slips for the last 6 months & Company ID Card copy.

For Retired Applicants-Retirement/Pension proof, Pension statements for the last 6 months.

For Students- Valid Student ID Card, NOC from School/College, Birth Certificate.

Sponsor’s Financial Documents –  if the trip is sponsored by another person or company, including sponsor letter, identification and financial documents, as applicable.
